Terms

For businesses using OneStamp.

1. Who this is between

These terms are an agreement between you, the business using OneStamp, and OneStamp Card Loyalty Systems, based in Prince Edward Island, Canada.

By creating an account you accept these terms. If you are accepting on behalf of a business, you confirm you are allowed to do so.

2. What OneStamp is

OneStamp is a shared digital loyalty programme. Your customers carry one card that works at every participating business. You set your own reward, stamp customers at your counter, and see activity at your own shop.

The card is shared. Your customers’ cards may list other participating businesses, and other businesses’ customers may add your shop to a card they already carry.

3. What you can and cannot see

You can see stamps given at your shop, visit history at your shop, and whether a reward is due.

You cannot see which other businesses are on a customer’s card, stamps earned elsewhere, or a customer’s phone number, email address, or name.

You may send notifications to customers who have been stamped at your shop. You may not send them to anyone else, and you will not receive contact details in order to do this.

You agree not to attempt to identify a customer’s activity at other businesses, or to use OneStamp to gather information about other participating businesses.

4. Your account and your staff

You are responsible for everything done under your account, including by staff you add and by any managers you give access to.

You agree to give each staff member their own PIN and not to share PINs, to remove staff who leave, to give stamps only for genuine qualifying purchases, and to keep your reward description accurate and honour it.

Where you give a manager access to one of your locations, they can see that location’s activity and manage its staff. They cannot see your other locations, change your reward or branding, or see your billing. You remain responsible for what they do.

We log every stamp with the staff member who gave it and make that visible to you. Detecting and acting on misuse by your own staff is your responsibility.

5. Free month, then payment

Every new business gets one month free from the date of signup. No card is required to start.

After that, continued use requires a paid plan. Current prices are shown at onestampcard.com and inside your dashboard.

If you do not choose a plan when the free month ends, new customers can no longer join your shop, but existing customers can still be stamped and can still redeem rewards they have earned.

Payments are handled by Stripe. Subscriptions renew monthly until cancelled. Prices are in Canadian dollars. We are currently a small supplier and not registered for HST, so no tax is charged. If that changes we will give you at least 30 days’ notice.

If we change prices, we will give you at least 30 days’ notice. Existing subscribers keep their current price for at least 12 months from the date of the change.

6. Accounts we invoice

Businesses with several locations may be set up on an invoiced plan rather than a card subscription. Where that applies, we agree a rate per location with you in advance and confirm it in writing before you start.

You are invoiced monthly for the number of locations active on your account at the time the invoice is raised. Locations you add during a month appear on the next invoice; locations you close stop being charged from the next invoice.

Invoices are payable within 30 days unless we have agreed otherwise in writing.

If an invoice is more than 30 days overdue we will contact you before doing anything else. If it remains unpaid after we have contacted you and given you a reasonable chance to settle it, we may suspend stamping across your locations on 14 days’ written notice. Your customers keep their cards, and rewards they have already earned remain redeemable.

Either side may end an invoiced arrangement with 30 days’ written notice. You remain liable for locations active during that period.

Where you and we have signed a separate written agreement, that agreement takes precedence over this section if the two conflict.

7. Cancelling

You may cancel at any time from your dashboard. Cancellation takes effect at the end of the period you have already paid for. We do not give partial refunds for unused time.

If you cancel or leave: your customers keep their OneStamp cards, your shop stops appearing on those cards, and stamps earned at your shop are retained for 12 months in case you return, then deleted.

Rewards a customer had already earned at your shop are no longer redeemable through OneStamp, and honouring them is a matter between you and your customer. We recommend telling your customers before you leave.

You may delete your account entirely from your dashboard. That cancels any subscription, removes your shop from every customer’s card, and ends your staff’s and managers’ access. It cannot be undone by you, though we can usually recover an account for a few days if you contact us.

8. Promotions on customer cards

We may show promotions on your customers’ cards. These are always labelled as sponsored, and a customer can hide any one of them.

A promotion from another business on OneStamp will never appear on a card that already carries a shop like yours. We match on the kind of shop you tell us you are, so keeping that accurate is worth doing.

We may also show promotions from businesses that are not on OneStamp. These link to their own website and have nothing to do with your shop.

Nobody can buy a promotion aimed at your customers, and no advertiser receives any information about who saw their promotion or who carries your card. We do not sell customer data to anyone, in any form.

You can buy a promotion yourself from your dashboard, where the plan allows it. It will reach people near you who do not already carry a shop like yours.

9. What we commit to

We will make reasonable efforts to keep OneStamp available and working. We will handle customer information as described in our Privacy policy, and we will not sell it or give your customers’ contact details to anyone.

We do not guarantee uninterrupted service. OneStamp depends on Apple, Google, and other providers, and those platforms can change their rules, limits, or behaviour without notice to us.

10. What we are not responsible for

To the extent Canadian law allows: we are not liable for lost sales, lost customers, or lost profits; for stamps given in error by your staff or misuse of your PINs; or for failures caused by Apple, Google, network outages, or a customer’s own device.

Our total liability in any 12-month period will not exceed what you paid us in that period. Nothing here limits liability that cannot legally be limited.

11. Suspension

We may suspend or close an account that does not pay, gives stamps fraudulently or systematically outside genuine purchases, attempts to obtain other businesses’ or customers’ data, or uses OneStamp for anything illegal.

Where practical we will warn you first and give you a chance to fix it.

12. Changes to these terms

We may update these terms. Material changes will be announced at least 30 days beforehand by email or in your dashboard. Continuing to use OneStamp after that means you accept the change.

13. Governing law

These terms are governed by the laws of the Province of Prince Edward Island and the federal laws of Canada that apply there. Disputes will be dealt with by the courts of Prince Edward Island.
